The Challenge
Every year, the HASA Conference brings together delegates, exhibitors, VIP guests, and healthcare leaders from across South Africa. Behind the scenes, that means managing registrations, exhibition stands, invoicing, payments, attendee data, and reporting, all while keeping the event running smoothly.
As the conference grew, these processes were spread across roughly ten WordPress plugins and Gravity Forms. The HASA team spent valuable time connecting information between systems, from matching proof of payment documents to invoices to keeping attendee records accurate for badges, catering, and gala guests. The tools supported the conference individually, but they weren’t designed to work together as one connected platform.
HASA needed a solution that could bring every stage of the conference journey into one place, making it easier to manage today while providing a foundation for future events.
What We Did
Instead of adding another tool to the mix, we created a platform that brings every part of the conference together. Registrations, exhibitor stand bookings, invoicing, online payments, email communications, and reporting now work seamlessly within HASA’s existing WordPress website, giving the team one central place to manage the event.
The platform was tailored to the different people attending the conference, with dedicated registration journeys for delegates, exhibitors, and invited VIP guests. Exhibitors can book stands through an interactive floor plan, invoices are generated automatically, payments are processed securely online, and live reporting provides up to date information throughout the conference lifecycle.
Built to be flexible, the platform allows HASA to manage pricing, packages, exhibition stands, and content internally, making it easy to adapt and reuse for future conferences.
